Booking and Cancellation Policy

This policy explains the booking lifecycle on SurfPortugal and what happens in each cancellation scenario. It applies to all Platform Reservation Fees collected by SurfPortugal. The remaining balance (paid directly to the camp) is governed by the Partner’s own cancellation terms, which are shown on the listing before you pay the Platform Reservation Fee.

1. Booking Lifecycle

  1. Request submitted — You submit a booking request. No payment is taken. The Partner has up to 48 hours (business hours) to confirm or decline availability.
  2. Availability confirmed — The Partner confirms your dates are available. You receive a secure deposit payment link. No commitment is made until the deposit is paid.
  3. Deposit paid — Your booking is reserved. Full contact details are exchanged. The remaining balance is agreed between you and the Partner.
  4. Stay completed — You enjoy your surf experience. Any balance outstanding is settled directly with the camp per their terms.

2. If the Partner Declines Before Deposit

If a Partner declines your booking request before you pay a deposit, no charge is made. You may submit a request to another camp. SurfPortugal will suggest alternatives where possible.

3. If You Cancel After Paying the Platform Reservation Fee

Once the Partner has confirmed availability and you pay the Platform Reservation Fee, your booking is confirmed.

Unless stated otherwise on the listing or required by law, the Platform Reservation Fee is non-refundable if you cancel after the booking is confirmed. This fee covers SurfPortugal’s marketplace, verification, booking coordination, payment processing, and customer support work.

4. Partner Cancellation Policies

Each Partner sets its own cancellation policy for the remaining balance. For example, some Partners may allow free cancellation up to 30 days before arrival, while others may apply different deadlines, partial charges, credits, or no-refund periods.

The specific Partner cancellation policy that applies to your booking will be shown on the Partner listing and/or booking confirmation before you pay the Platform Reservation Fee.

5. If the Partner Cancels After Confirmation

If the Partner cancels a confirmed booking or cannot provide the booked service, SurfPortugal will refund the Platform Reservation Fee or help you rebook with another Partner at no additional platform fee.

Any amount already paid directly to the Partner is handled under the Partner’s own cancellation and refund terms, unless applicable law requires otherwise.

The Partner’s own cancellation policy applies to the remaining balance and to any amount paid directly to the Partner. Each Partner’s cancellation policy is shown on the listing and should be reviewed before you pay the Platform Reservation Fee.

To cancel, email hello@surfportugal.com with your booking reference. Cancellation is effective on the date we receive your written request.

6. Remaining Balance

The remaining balance (total quoted price minus the Platform Reservation Fee) is paid directly to the camp. The remaining balance is subject to the Partner’s own cancellation policy, which you must review before completing your Platform Reservation Fee payment.

7. No-Shows

If you do not show up for your booking without prior cancellation, no refund of the deposit is due, and the Partner may retain any balance already paid.

8. Refund Processing

Eligible refunds are processed via the original payment method (Stripe). Processing time is 5–10 business days depending on your card issuer. We do not charge a cancellation administration fee.

9. Force Majeure

In the event of force majeure (including government travel bans, natural disaster, or pandemic restrictions) preventing the activity, we will work with you and the Partner to reschedule or issue a credit. Refunds in force majeure cases are at the discretion of SurfPortugal in coordination with the Partner.
