Booking and Cancellation Policy

This policy explains the booking lifecycle on Surf Camps Portugal and what happens in each cancellation scenario. It applies to all reservation deposits collected by Surf Camps Portugal. The remaining balance (paid directly to the camp) is governed by the Partner’s own cancellation terms, which are shown on the listing before you pay the reservation deposit.

The reservation deposit is the single payment you make to Surf Camps Portugal once your dates are confirmed. It is 15% of the total quoted price of your booking and forms part of that total — it is not an extra charge on top. The remaining balance is paid directly to the Partner.

1. Booking Lifecycle

1. Request submitted — You submit a booking request. No payment is taken. The Partner has up to 48 hours (business hours) to confirm or decline availability.
2. Availability confirmed — The Partner confirms your dates are available. You receive a secure deposit payment link. No commitment is made until the deposit is paid.
3. Deposit paid — Your booking is reserved. Full contact details are exchanged. The remaining balance is agreed between you and the Partner.
4. Stay completed — You enjoy your surf experience. Any balance outstanding is settled directly with the camp per their terms.

2. If the Partner Declines Before Deposit

If a Partner declines your booking request before you pay a deposit, no charge is made. You may submit a request to another camp. Surf Camps Portugal will suggest alternatives where possible.

3. Reservation Deposit

Once the Partner has confirmed availability and you pay the reservation deposit, your booking is confirmed.

Once payment has been successfully completed, the reservation deposit is normally non-refundable if the traveller cancels or decides not to travel. This does not affect any refund rights required by applicable law or the specific refund situations described in this policy.

The situations in which a refund of the reservation deposit is available are:

• The Partner cancels or cannot provide the booking — section 5.
• Force majeure — section 9.
• Where applicable law requires a refund, including any statutory rights you have as a consumer. Nothing in this policy limits those rights.

A Partner’s own cancellation policy applies to the remaining balance and does not determine whether the reservation deposit is refundable.

The reservation deposit forms part of the total quoted price of your booking; it is not an additional charge. The remaining balance is paid directly to the Partner (see section 6).

4. Partner Cancellation Policies

Each Partner sets its own cancellation policy for the remaining balance. For example, some Partners may allow free cancellation up to 30 days before arrival, while others may apply different deadlines, partial charges, credits, or no-refund periods.

The specific Partner cancellation policy that applies to your booking will be shown on the Partner listing and/or booking confirmation before you pay the reservation deposit.

5. If the Partner Cancels After Confirmation

If the Partner cancels a confirmed booking or cannot provide the agreed booking, you are entitled to a refund of the reservation deposit. If you would prefer it, you may instead choose to rebook with another Partner at no extra cost — that choice is yours, and we will not substitute a rebooking for your refund.

Any amount already paid directly to the Partner is handled under the Partner’s own cancellation and refund terms, unless applicable law requires otherwise.

The Partner’s own cancellation policy applies to the remaining balance and to any amount paid directly to the Partner. Each Partner’s cancellation policy is shown on the listing and should be reviewed before you pay the reservation deposit.

To cancel, email hello@surfcampsportugal.pt with your booking reference. Cancellation is effective on the date we receive your written request.

6. Remaining Balance

The remaining balance (the total quoted price minus the reservation deposit) is paid directly to the camp. The remaining balance is subject to the Partner’s own cancellation policy, which you must review before you pay the reservation deposit.

7. No-Shows

If you do not show up for your booking without prior cancellation, no refund of the deposit is due, and the Partner may retain any balance already paid.

8. Refund Processing

Where a refund of the reservation deposit is due under section 3, it is processed via the original payment method (Stripe). Processing time is 5–10 business days depending on your card issuer. We do not charge a cancellation administration fee.

9. Force Majeure

In the event of force majeure (including government travel bans, natural disaster, or pandemic restrictions) preventing the activity, we will work with you and the Partner to reschedule or issue a credit. Refunds in force majeure cases are at the discretion of Surf Camps Portugal in coordination with the Partner.
